1.Who is responsible
The Polman Technology Services, 2 square Saint-Irénée, 75011 Paris, registered under SIREN number 907 608 046, is the controller for the processing described below.
For any question or request, write to contact@the-polman-ts.com. We answer within thirty days at most.
2.What we collect, and why
Contact form — name, company, email address, job title, project type, budget and timeline considered, and the message you write. This is used solely to answer your enquiry and, where relevant, to draw up a quote. The legal basis is our legitimate interest in responding to a commercial enquiry you initiated.
Business relationship — the information needed to perform the contract and to invoice. The legal basis is performance of the contract, and legal obligation for accounting records.
Internal workspace — the professional email address of authorised staff, for authentication. The legal basis is our legitimate interest in securing access.
3.What we do not do
We neither sell nor transfer your data to third parties.
We do not use it for advertising and carry out no automated prospecting from enquiries received.
We take no automated decision producing legal effects concerning you, and carry out no profiling.
Documents handled in our internal workspace — invoices, contracts, attachments — are never stored: they pass through memory, are sent, then disappear. Only the record of the sending is kept: recipient, date, amount, due date.
4.For how long
Enquiry with no commercial follow-up: three years from the last contact.
Business relationship: for its whole duration, then three years.
Accounting records and invoices: ten years, as required by the French Commercial Code.
Record of workspace sendings: ten years, aligned with accounting retention.
5.Who has access
Our authorised staff, limited to what their role requires.
Our technical subprocessors, which act on our instructions and may not use the data for any other purpose: Vercel Inc. for hosting the site, Neon for the database, hosted in the European Union, and Google Workspace for email.
Vercel Inc. is established in the United States and adheres to the EU–US Data Privacy Framework. Standard contractual clauses govern the transfers.
6.Cookies
This site sets no advertising cookies and no third-party analytics trackers. No consent banner is therefore necessary.
Only cookies strictly necessary to the internal workspace — the login session — may be set, and only after authentication.
7.Your rights
You have the right to access, rectify, erase, restrict, object to and port your data.
To exercise them, write to contact@the-polman-ts.com. Proof of identity may be requested where reasonable doubt exists as to the origin of the request.
If our answer does not satisfy you, you may lodge a complaint with the CNIL, the French data protection authority, 3 place de Fontenoy, 75007 Paris.
8.Changes
This policy may change. The version date appears at the top of the page; we keep previous versions and can provide them on request.
